Email parser Airtable integration for orders and leads

An email parser Airtable integration turns each incoming order, lead or invoice email into a record in your base, with the fields in the right columns. ParsedMail has no native Airtable app and connects through a signed webhook to Zapier, Make, n8n or your own code calling the Airtable API. Forward the emails, describe the fields once, and rows appear without anyone copying text from a message.

How an email parser feeds Airtable

Airtable is a good home for operational data, but it only knows what someone puts in. Orders from a wholesale partner, inquiries from a marketplace, supplier confirmations and booking requests often arrive as emails. Someone opens each one and retypes it. A parser removes that step. Forward the message to a ParsedMail inbox, list the fields in plain English, and ParsedMail posts a typed result to your webhook a few seconds later.

The JSON event has id, type, created and data. For email.parsed, the email object is data, extracted fields are data.data.* and the email ID is data.id. Quality signals are data.confidence_avg and data.needs_review. The order email parsing guide shows how to choose fields for purchase and order messages.

Why forwarding to Airtable is not enough

Airtable can receive data from forms, automations and its API, but a raw email is not any of those. Pasting the whole body into a long text field gives you a record nobody can filter or sum. The value of a base comes from separate columns for amount, date, status and customer, and the parser is what produces those values from running text.

If you control the sender, a form is simpler. If the sender is a partner portal, a marketplace or a supplier whose format you cannot change, the email is the only copy of the data. That is the case this setup is built for.

Map parsed email fields to Airtable columns

ParsedMail fieldAirtable field typeNotes
data.data.order_numberSingle line textUse it as the primary field or as the key you match on.
data.data.customerSingle line text or linked recordA linked record needs the matching row to exist first.
data.data.emailEmailStored as extracted.
data.data.totalCurrency or numberAmount and currency arrive as separate values in the JSON.
data.data.ship_dateDateDates are returned in ISO format, which Airtable accepts.
data.data.statusSingle selectThe option name must already exist or the write can be rejected.
data.idSingle line textStore it so a repeat delivery can be traced and skipped.

Airtable is strict about select options and linked records. Define allowed values for status-style fields in your ParsedMail schema so the parser returns one of your options rather than free text. For linked records, look the target row up first, then write its record ID.

Set up email to Airtable in Zapier

Create a Zap with Webhooks by Zapier and Catch Hook, a premium app, so check your Zapier plan. Paste the hook URL into a ParsedMail webhook endpoint and forward a real message. The Zapier integration guide explains the trigger and field labels.

Add a Filter for type equal to email.parsed and data.needs_review false, and skip webhook.test. Then add an Airtable step. To avoid duplicates, use Find Record on the stored email ID first and create the record only when nothing is found. Map each parsed field to its column and write data.id into the key column.

Set up the connection in Make or n8n

In Make, use Webhooks and Custom webhook, register its URL in ParsedMail and capture a real email so the bundle structure appears. Open data, then data again to reach your fields. Add a filter on review status, then an Airtable module to search records and one to create a record. The Make integration guide covers capturing the bundle.

In n8n, receive POST requests with a Webhook node. Fields sit under body.data.data and the email ID is body.data.id. Add an If node for review status, then an Airtable node set to search and create. The n8n integration guide shows signature verification on the raw body.

Write to Airtable from your own code

With a custom receiver, verify the ParsedMail signature on the raw body first. Reject events where needs_review is true. Airtable's API creates records with a POST to the table, carrying a fields object per record, and authenticates with a personal access token that you scope to the one base. Its update call can match on chosen fields and create the record when none matches, which makes a safe upsert keyed on the email ID.

Store the Idempotency-Key before calling Airtable and return a 2xx status only after the write succeeded or the work is queued. ParsedMail retries failed deliveries, and the stored key lets your code recognize a repeat. Keep request volume modest, since Airtable limits requests per second for each base.

Keep the base clean as volume grows

Three habits keep the data usable. Write only reviewed emails, so a misread total does not enter a report. Keep one key column holding the ParsedMail email ID, so any row traces back to its message. And point each email source at its own table or a clearly marked source column, so an order layout change from one partner never disturbs another.

ParsedMail Growth adds a review queue where a person confirms flagged values before delivery. The original email stays in your mailbox, and the parsed record keeps its confidence score, so a surprising number is easy to check against the source.

Who this setup suits and what it costs

It suits an operations or sales lead who already runs a process in Airtable and loses hours to copying emails into it, typically a few hundred messages a month from several senders. ParsedMail Starter is $49 per month, or $24 billed yearly, for 1,000 emails. Growth is $149 per month, or $74 billed yearly, for 5,000 emails and adds the review queue. Zapier, Make or n8n costs are separate. See ParsedMail pricing for limits.

If your senders already use an Airtable form, you do not need a parser. If the data lives in emails you cannot change, the saved typing and the cleaner reports are the reason to buy.

Frequently asked questions

Can Airtable parse incoming emails?

Airtable does not read an email body and fill columns from it on its own. Forward the email to a parser, extract the fields you need, then create the record through Zapier, Make, n8n or the Airtable API with each value in its own column.

How do I send emails to Airtable automatically?

Forward the emails to a ParsedMail inbox, register a webhook, and add an automation that creates an Airtable record from the parsed fields. Filter out test events and unreviewed emails first. The whole path runs without anyone opening the message.

Is there a ParsedMail app in the Airtable marketplace?

No, ParsedMail has no native Airtable app. It sends a signed webhook, which Zapier, Make, n8n or your own code turns into Airtable records. The receiving workflow maps typed fields to columns and handles linked records and select options.

How do I stop duplicate records in Airtable?

Store the ParsedMail email ID in a key column and search for it before creating a record, or use an update call that matches on that field. Also keep the Idempotency-Key from each delivery so a retried webhook is recognized and skipped.

Can I put email attachments into Airtable?

ParsedMail reads PDF attachments and returns their fields as JSON, so invoice totals or order lines can fill columns. Airtable attachment fields take a file URL, so storing the original file needs a link your workflow can host or reference.

Do I need code to connect a parser to Airtable?

No, Zapier, Make and n8n can receive the ParsedMail webhook and create Airtable records using visual mapping. Code is only needed for custom signature checks, batching or matching rules that the visual tools cannot express.
