Email parser Pipedrive integration for leads and deals
An email parser Pipedrive integration turns lead notification emails into persons, leads and deals your reps can work today. ParsedMail has no native Pipedrive Marketplace app and connects through a signed webhook to Zapier, Make, n8n or your own code calling the Pipedrive API. Forward directory inquiries, marketplace leads, partner referrals or quote requests to ParsedMail, then map the extracted fields to Pipedrive records.
Parse an email above, then compare plans and pricing or read the API docs.
How the email parser Pipedrive connection works
A Pipedrive email parser workflow starts where your sales team actually receives the lead. A directory, marketplace, partner portal or outside quote form sends a notification to a shared mailbox. Someone then retypes the name, phone and request into Pipedrive, or the lead goes cold. Forward that message to a ParsedMail inbox, describe the fields in plain English, and ParsedMail posts the typed result to your webhook. The lead email parsing guide covers choosing fields across lead sources.
The JSON event contains id, type, created and data. For email.parsed, the email object is data, extracted fields are data.data.*, and the email ID is data.id. Use data.confidence_avg and data.needs_review for checks before anything is written to the CRM.
Why Pipedrive email sync does not replace parsing
Pipedrive can sync a mailbox and attach conversations to people and deals. That records email activity, but it does not read a notification body and turn the prospect name, phone number and requested service into fields. A lead notification from a third party also tends to come from a no-reply address, so the sender is not your prospect. The prospect details sit inside the text.
Web forms work when you control the form. When the inquiry arrives from a platform whose form you cannot replace, the email is the only copy of the data, and a parser is the step that makes it usable.
Map parsed email fields to Pipedrive records
| ParsedMail field | Pipedrive destination | Notes |
|---|---|---|
| data.data.name | Person name | Required to create a person. |
| data.data.email | Person email | Use it to find an existing person before creating one. |
| data.data.phone | Person phone | Keep the value as extracted. Pipedrive stores phone numbers as entered. |
| data.data.company | Organization name | Find or create the organization, then link the person to it. |
| data.data.request | Lead or deal title, note | Use a short title and put the full request in a note. |
| data.data.budget | Deal value | Amount and currency are separate values in the parsed JSON. |
| data.id | Custom field | Store it so repeat deliveries can be traced and skipped. |
Custom fields in Pipedrive are addressed by a generated key rather than the label you see in the interface, so copy the key for each custom field from your account settings before mapping. In the current API, a person takes an emails list with a value and a primary flag, and a phones list in the same shape. Automation apps hide that shape behind simple email and phone inputs, while code needs the arrays.
Create the person first, then a lead or a deal
Pipedrive keeps people and organizations as the base records, and a lead or deal points at them. A lead must be linked to a person, an organization or both, so the person comes first. Search for an existing person by the extracted email, update it when found, and create it when not. Keep the returned person ID for the next step.
Then choose where the inquiry belongs. Leads sit in the Leads Inbox for qualification, which suits inquiries from broad sources where many will never become sales. A deal goes straight into a pipeline stage, which suits quote requests and orders that already look like opportunities. Pick one rule per email source and stick to it, because mixing both for the same source leaves the team guessing where to look.
Put the original request text in a note on the lead or deal so the rep sees what the prospect wrote. Choose the pipeline and stage from your own process rather than interpreting email wording as an internal stage ID.
Set up email to Pipedrive lead creation in Zapier
Create a Zap with Webhooks by Zapier and Catch Hook. Webhooks by Zapier is a premium app, so check your Zapier plan. Paste the hook URL into a ParsedMail webhook endpoint and forward a real lead notification. The Zapier integration guide explains the trigger and field labels.
Add a Filter for type equal to email.parsed, data.needs_review false and a present prospect email. Skip webhook.test events. Then add Pipedrive steps to find or create the person, and create the lead or deal linked to that person. Map Data Data Email to the person email and store data.id in a custom field. Catch Hook does not verify signatures automatically. For verification inside Zapier, use Catch Raw Hook and a code step with the original body and headers before the CRM actions.
Set up the connection in Make or n8n
In Make, start with Webhooks and Custom webhook. Register its URL in ParsedMail and capture a real notification. Open data, then data again to reach the lead fields. Filter on event type, review status and email before the Pipedrive modules. The Make integration guide covers capturing the bundle.
In n8n, receive POST requests with a Webhook node. The address is body.data.data.email, review status is body.data.needs_review, and the email ID is body.data.id. Add an If node with the same checks, then Pipedrive nodes for the person and the lead or deal. Activate the workflow and register its production URL after testing. The n8n integration guide shows signature verification using the raw body.
Use the Pipedrive API from your own code
With your own receiver, verify the ParsedMail signature on the raw body first, then reject anything with needs_review true or a missing email. Search Pipedrive persons by email, create or update the person, then create the lead or deal using the person ID. Store the Idempotency-Key and data.id before you call Pipedrive so a retry cannot run the workflow twice.
Return a 2xx status only after the records are written, or after you have queued the work durably. ParsedMail retries failed deliveries, and the stored key lets your code recognize a repeat. Use a Pipedrive API token or OAuth app owned by a service user rather than an individual rep, so records do not break when someone leaves.
Avoid duplicate people, leads and deals
Three things create duplicates. A repeat webhook delivery, the same prospect writing twice, and two lead sources forwarding the same inquiry. Guard each one. Check the stored idempotency key for the first. Match on the extracted email for the second, so a returning prospect gets a new lead on the existing person. For the third, decide which source is authoritative and keep the other out of the workflow.
Forwarding a lead to ParsedMail does not remove it from your mailbox. Reps can still read the original, and the parsed record keeps the confidence score, so a rep can check a surprising value against the source message.
Who this setup suits and what it costs
It suits a sales or operations lead on Pipedrive whose inquiries arrive as notification emails nobody wants to retype, typically a few hundred a month across several senders with different layouts. ParsedMail Starter is $49 per month, or $24 billed yearly, for 1,000 emails. Growth is $149 per month, or $74 billed yearly, for 5,000 emails and adds the review queue. Zapier, Make or n8n costs are separate. See ParsedMail pricing for limits.
If every lead already arrives through a Pipedrive web form, you do not need a parser. If leads arrive from platforms you cannot configure, the saved typing and the faster first reply are the reason to buy.
