How Gmail parsers actually get your mail
An email parser for Gmail needs the message before it can extract an order number or invoice total. The usual routes are forwarding selected messages to a parser address or connecting a mailbox through OAuth. These grant different kinds of access.
With forwarding, you create a Gmail filter and send matching mail to the address the parser gives you. ParsedMail uses this route, so it receives the forwarded content without permission to browse the rest of your mailbox. Narrow filters keep unrelated correspondence out of the parsing workflow. Forwarding still sends a copy outside Gmail, so include only messages the workflow needs.
A mailbox connection uses OAuth permissions to let an application access Gmail. Check the requested scopes and whether it reads existing messages, new messages or both. This can suit workflows that need mailbox history, but the permission boundary differs from a forwarding filter. People who want help triaging messages and drafting replies inside Gmail or Outlook use an AI email assistant for Gmail and Outlook, which serves a different purpose from extracting fields into business systems.
Compare Gmail email parser tools and prices
These prices cover the parser. Automation costs can be separate. Yearly figures below are monthly equivalents billed yearly, and EUR prices stay in EUR without an assumed exchange rate.
| Tool | Parsing and output | Plans and billing unit |
|---|---|---|
| ParsedMail | AI fields described in plain English, typed JSON delivered by webhook | Starter $49/month or $24 billed yearly for 1,000 emails and 300 attachment pages. Growth $149/month or $74 billed yearly for 5,000 emails and 2,000 pages, with a review queue and 5 seats. Scale $499/month or $249 billed yearly for 25,000 emails. Per email billing with separate attachment page limits. |
| Mailparser | Rule based parsing | Starter $29.95/month or $24.95 billed yearly for 250 emails. Professional $39.95/month for 500, Business $99.95/month for 2,000, Premium $299.95/month for 10,000. A 30 day trial includes 30 credits. |
| Parseur | Document focused parsing, billed by page | Free plan with 20 pages/month. Micro 49 EUR/month for 100 pages, Mini 89 EUR/month for 300, Starter 129 EUR/month for 1,000, Pro 499 EUR/month for 10,000. Each email counts as 1 page. |
| Airparser | AI extraction with credit billing | Billed yearly, $33/month for 100 credits, $49 for 500, $149 for 2,000, $249 for 5,000. One credit per email and per PDF page. |
| Zapier Email Parser | Template based highlighting, with mailboxes at parser.zapier.com | No extra parser charge. You still pay for Zapier tasks used by the workflow. |
Mailparser wins on the monthly entry price for stable layouts. Parseur offers a continuing free tier for a small workload. Zapier's parser costs nothing extra when its templates fit. ParsedMail becomes attractive when changing senders make rules expensive to maintain. Compare the Mailparser rule parsing tradeoffs, Parseur page billing comparison and Airparser credit cost breakdown before choosing.
Mailparser's entry price is lower on monthly billing, while ParsedMail Starter costs less at the listed yearly rate and includes a larger email allowance. Keep the billing commitment visible when you compare quotes rather than mixing monthly and yearly prices.
The best pick for each Gmail workflow
Orders and receipts
Choose ParsedMail when suppliers send different layouts and you need consistent order numbers, totals, dates and line items. Describe the fields in plain English instead of maintaining positions for every sender. Mailparser is worth testing when those layouts rarely change and rules give you the control you want.
Leads into a CRM
Choose ParsedMail for inquiries written in different formats, with fields such as contact name, phone and requested service. Send webhook JSON to an automation that creates the CRM record. Choose Zapier Email Parser for a consistent notification template feeding an existing Zap. Its template parsing comparison explains where PDFs and confidence scores change the decision.
Invoices and PDF attachments
Shortlist ParsedMail and Parseur, then test the actual files your suppliers send. ParsedMail reads PDF text and scans on paid plans, with attachment pages counted separately. Growth adds a review queue for uncertain results. Parseur's free allowance makes an initial document test accessible. Include PDF pages in your budget before committing.
For an invoice workflow, review is part of the buying decision. In ParsedMail, low confidence, a missing required field or an unmatched classification can send mail to review on Growth and Scale. Approval delivers the corrected values to your webhook. Starter delivers parsed results with confidence scores but has no review queue.
Developers who need JSON
Choose ParsedMail when a webhook or REST API is the destination. Typed values and confidence scores help your code validate results, and signed webhooks include retries. Keep an email identifier in downstream records so delivery retries cannot create duplicate orders. The broader guide to choosing an email parser covers the evaluation criteria beyond Gmail.
Set up selective Gmail forwarding
Start by creating a ParsedMail inbox, describing the fields you need and copying its address. Then configure Gmail.
- Open Settings, then See all settings.
- Select Forwarding and POP/IMAP, then Add a forwarding address. Paste the parser inbox address.
- Open the confirmation email in the ParsedMail inbox log. It appears with status
skipped. Copy the confirmation code into Gmail, or use the confirmation link. - Create a Gmail filter using
from:for the sender orsubject:for the relevant subject text. Check the matching messages before saving. - Choose Forward it to and select the confirmed parser address. Save the filter and send a matching email to test the complete route.
The confirmation email is never parsed or counted toward your plan. You do not need to forward the entire inbox. Verify the extracted fields and the destination record before expanding the filter. The inbox and forwarding documentation also explains allowed senders and how to inspect the log.
Check a message that should match and another that should stay out of the workflow. If you use allowed senders in ParsedMail, remember that matching uses the email's From address. A manual forward from your own mailbox can therefore behave differently from your automatic rule.
Check Google Workspace forwarding policy
An email parser for Google Workspace depends on your organization's Gmail policy. Admins can turn off automatic forwarding for the whole organization or an organizational unit in the Admin console under Apps, Google Workspace, Gmail, End User Access. Existing filters stop forwarding when automatic forwarding is disabled. Changes can take up to 24 hours.
If a matching message never reaches the parser log, ask your admin to check that policy. A successful confirmation does not prove that every later message will be forwarded. Check both Gmail's filter conditions and the organization's forwarding setting before changing the parsing schema.
Cost at 300, 1,000 and 3,000 emails a month
This comparison assumes emails without attachments, spread across the month. Each body uses one email allowance in ParsedMail and Mailparser, one page in Parseur and one credit in Airparser. Cells show the smallest listed plan that covers the volume.
| Tool | 300 emails/month | 1,000 emails/month | 3,000 emails/month |
|---|---|---|---|
| ParsedMail | Starter $49 or $24 yearly | Starter $49 or $24 yearly | Growth $149 or $74 yearly |
| Mailparser | Professional $39.95 | Business $99.95 | Premium $299.95 |
| Parseur | Mini 89 EUR | Starter 129 EUR | Pro 499 EUR |
| Airparser | $49 billed yearly | $149 billed yearly | $249 billed yearly |
| Zapier Email Parser | No extra parser charge, plus tasks | No extra parser charge, plus tasks | No extra parser charge, plus tasks |
All amounts are monthly prices. Mailparser's Starter allowance cannot cover 300 emails. Airparser's 500 credit tier cannot cover 1,000. Attachments change the math, so count their pages separately. ParsedMail pauses parsing at either its email or page limit and stores incoming messages as over_limit for later replay. Check the ParsedMail plan limits and billing options against your real workload.
Parse Gmail emails to Google Sheets
To parse Gmail emails to Google Sheets, forward matching mail, extract fields, then map the webhook JSON to spreadsheet columns through Zapier, Make or n8n. ParsedMail uses their generic webhook triggers rather than a native marketplace app. Keep the email id in a column and check it before appending a row.
For code inside Google Workspace, Apps Script can poll the ParsedMail API. Follow the email to Google Sheets setup guide for mappings and duplicate protection, or the email to spreadsheet workflow for choosing columns. Test missing fields, forwarded messages and PDF attachments before routing live records.
Before signing up, decide whether the destination needs an order summary or a row for every line item. ParsedMail can return repeating items as a table field, which the automation loops over. Store monetary amounts and currencies in separate columns, and preserve missing values as empty cells instead of guessed text. Confirm the mapping in your test sheet.
