Best email parser for Zoho CRM leads and orders
ParsedMail is our pick for Zoho CRM when leads arrive as notification emails from directories, marketplaces or partners with layouts that change: it returns typed JSON by webhook that Zoho Flow, Zapier, Make, n8n or your own code writes to Zoho. Mailparser is cheaper at the entry level for stable layouts, and Parseur suits teams that think in documents and pages. None of them needs a mailbox connection to Zoho itself.

What a Zoho CRM email parser has to do
Zoho CRM can capture leads from web forms and from mail you send and receive in the CRM. It cannot do much with a message from a third party portal that says "New inquiry from Dana Whitaker, 555 0142, needs a quote for 40 units" in free text. That message has to be turned into fields before it can become a lead with a phone number and a requested quantity.
A parser sits between the mailbox and Zoho. You forward the notification to a parser address, it extracts the fields, and a webhook hands them to something that can call Zoho. The questions that separate tools are simple. Does it cope when the sender changes the layout? Does it deliver JSON to a URL you control? Does it tell you when it is unsure, so a bad phone number does not become a lead? And what does it cost at your monthly volume?
Email parsers compared for Zoho CRM
Prices were checked on each vendor's pricing page in October and November 2026. Yearly figures are monthly equivalents billed yearly, and EUR prices stay in EUR.
| Tool | How it extracts | Plans and billing unit | Best for |
|---|---|---|---|
| ParsedMail | Language model reads the email and attachments against fields you describe in plain English | Starter $49/month or $24 billed yearly for 1,000 emails and 300 attachment pages. Growth $149/month or $74 yearly for 5,000 emails, with a review queue. Scale $499/month or $249 yearly for 25,000 emails. | Lead and order emails from many senders with changing layouts |
| Mailparser | Rules and templates you set up per sender | Starter $29.95/month or $24.95 yearly for 250 emails. Professional $39.95 for 500, Business $99.95 for 2,000, Premium $299.95 for 10,000. | A few senders with fixed layouts and low volume |
| Parseur | Template and AI parsing, built around documents | Free plan with 20 pages. Micro 49 EUR/month for 100 pages, Mini 89 EUR for 300, Starter 129 EUR for 1,000, Pro 499 EUR for 10,000. An email counts as 1 page. | Mixed documents and email, billed by page |
| Zapier Email Parser | Template highlighting in a Zapier mailbox | No extra parser fee, you pay for Zapier tasks | Simple, consistent emails already inside Zapier |
Mailparser wins on entry price when the layouts are stable. ParsedMail wins when you would otherwise keep writing rules for each new sender, and Starter at the yearly rate includes four times the emails of Mailparser Starter. How parsed emails get into Zoho CRM
ParsedMail has no native Zoho app. It posts a signed webhook for every parsed email, and one of three things receives it.
- Zoho Flow or a no-code tool. Zoho Flow can start a flow from an incoming webhook, and Zapier, Make and n8n can do the same. Check which webhook features your Zoho Flow plan includes before you build.
- Your own code. A small endpoint verifies the HMAC-SHA256 signature and calls the Zoho CRM API. Zoho's records API supports upsert with duplicate check fields, so using the prospect's email as the match key updates an existing lead instead of creating a second one.
- A review step first. Each event carries
data.confidence_avganddata.needs_review. Skip the write when review is needed and send the email to a person, then let it through once corrected.
The extracted fields are at data.data.* in the event, and the email ID at data.id. Store that ID in a custom field on the lead so repeat deliveries, which can happen after a retry, do not create duplicates. The same pattern is described for HubSpot, Pipedrive and Salesforce, and the field mapping carries over to Zoho with different property names.
Choosing the fields before you choose the tool
Start from the Zoho Leads module, not from the email. List the fields your team actually works with: last name (required by Zoho), company, email, phone, lead source, description. Add the inquiry specifics your sales team reads first, such as requested quantity, location or product. Decide which two or three are mandatory. A lead with no email or phone is not worth a salesperson's call, and the parser should flag it rather than invent a value.
Then forward ten real notifications from each source and look at the output. If the tool needs a rule for every source, count the sources you expect over a year and price the maintenance. If it reads them with one schema, test the worst one, the email where the phone number is in a signature or the name is in a subject line. Lead email parsing covers how to pick fields across sources, and the demo on the ParsedMail homepage lets you paste a real message without an account.
A volume check: what a month costs
Say a team receives 600 lead notifications a month from five sources. At 600 emails, Mailparser's Professional plan at 500 is too small, so you land on Business at $99.95 a month for 2,000. ParsedMail Starter covers 1,000 emails at $49 a month, or $24 billed yearly. Parseur's Mini plan, at 300 pages, is too small, and its Starter at 129 EUR covers 1,000. At 150 emails a month the picture flips: Mailparser Starter at $29.95 is cheaper than ParsedMail monthly Starter. Pick on volume and on how many layouts you must maintain, not on the headline number.

Where lead data goes after Zoho
Parsing is the first step. Once a clean lead sits in Zoho, the work is finding more of the right accounts to put in front of the same sales team, and teams that want that use an AI lead generator for B2B sales teams alongside the CRM. That is a separate job from reading the notification emails you already receive.
