Best email parser for accounts payable
ParsedMail is our pick for accounts payable teams whose vendor invoices arrive as PDF attachments and email bodies in many layouts: it returns typed JSON with vendor, invoice number, line items, total and due date by webhook, with a review flag for doubtful values. Mailparser is cheaper when a handful of vendors never change their format, and Parseur suits teams that think in documents. A parser only reads the invoice, so approvals and payment still need your accounting or AP tool.
Try it on a real email, no account needed
What an AP team needs from an email parser
Vendors do not agree on an invoice format. One sends a clean PDF, another pastes the amount in the email body, a third attaches a scan from a phone. An AP clerk opens each one, finds the vendor, invoice number, date, amount and due date, and keys them into the accounting system. That is the work to remove.
Judge a parser on four things: does it read PDF and scanned attachments, does it cope with a new vendor without a new template, does it flag values it is unsure about, and does it deliver to your system without custom glue. A wrong amount that goes straight into a payment run costs more than a slow week.
Email parsers compared for vendor invoices
Prices were checked on each vendor's pricing page in October and November 2026. Yearly figures are monthly equivalents billed yearly, and EUR prices stay in EUR.
| Tool | How it extracts | Plans and billing unit | Best for |
|---|---|---|---|
| ParsedMail | Language model reads the email and attachments against fields you describe in plain English | Starter $49/month or $24 billed yearly for 1,000 emails and 300 attachment pages. Growth $149/month or $74 yearly for 5,000 emails, with a review queue. Scale $499/month or $249 yearly for 25,000 emails. | Many vendors with different layouts, PDF and scanned invoices |
| Mailparser | Rules and templates you set up per sender | Starter $29.95/month or $24.95 yearly for 250 emails. Professional $39.95 for 500, Business $99.95 for 2,000, Premium $299.95 for 10,000. | A few vendors with fixed layouts and low volume |
| Parseur | Template and AI parsing, built around documents | Free plan with 20 pages. Micro 49 EUR/month for 100 pages, Mini 89 EUR for 300, Starter 129 EUR for 1,000, Pro 499 EUR for 10,000. An email counts as 1 page, attachments add pages. | Document heavy workflows billed by page |
| Zapier Email Parser | Template highlighting in a Zapier mailbox | No extra parser fee, you pay for Zapier tasks | Simple, consistent emails already inside Zapier |
Details are in the Mailparser comparison and the Parseur comparison. For the wider category see the email parser selection guide.
What 500 and 3,000 vendor invoices a month cost
At 500 invoices a month, Mailparser Professional at $39.95 fits exactly, and ParsedMail Starter at $49 a month (or $24 billed yearly) leaves room for 1,000 emails. Parseur needs its 129 EUR Starter plan, because Mini stops at 300 pages and every attachment page counts.
At 3,000 invoices the gap widens. Mailparser Business covers 2,000, so you step up to Premium at $299.95. ParsedMail Growth at $149 a month (or $74 yearly) covers 5,000 emails and includes the review queue. Parseur Pro at 499 EUR covers 10,000 pages. Attachment pages on ParsedMail are counted separately, 300 on Starter, so check pricing if your invoices run to many pages.
Compare the total with the clerk's time. At three minutes an invoice, 500 invoices is 25 hours a month of keying, before corrections. The hidden cost of template tools is the tenth vendor who changes layout and needs a new template.
How parsed invoices reach your accounting system
ParsedMail posts a signed webhook for every parsed email, and the invoice fields are at data.data.*. Three routes are common.
- A no-code tool. Zapier, Make or n8n catch the webhook and create a bill in QuickBooks Online or Xero.
- A board or sheet. An Airtable or monday.com approval board works when a manager signs off before the bill is booked.
- Your own code. An endpoint verifies the HMAC-SHA256 signature and calls the accounting API.
Every event carries data.confidence_avg and data.needs_review. Skip the write for doubtful totals and send the email to a person. Save data.id with the bill so a repeat delivery cannot create a duplicate. The field list is in invoice email parsing.
Test with your worst invoice first
Forward ten real invoices from your messiest vendors: the scan with a stamp over the total, the email with the amount only in the body, the PDF with a credit note on page two. Check the total against the line items and the due date against the original. If a tool needs a separate rule for each vendor, multiply by the vendors you expect over a year. The demo on the ParsedMail homepage lets you paste a real message without an account.
Once the invoice data arrives clean, the next step is approval and payment. Many teams pair a parser with AP automation software that routes bills to approvers and schedules payment runs.
